Head Office Administrator

Full Time - 37.5 Hours Per Week

About the Role

We are looking for an organised, professional and proactive Head Office Administrator to join Saint Cecilia’s Care Group. This is a varied and rewarding role that sits at the heart of our organisation, providing essential administrative support across recruitment, HR, training and business operations.

As the first point of contact for many enquiries, you will play a key role in supporting the employee journey from recruitment and onboarding through to leavers, while also helping to maintain our HR, learning and business systems. Working closely with the Group Support Manager and Head Office team, you will help ensure our services operate efficiently and effectively.

Key Responsibilities

Recruitment & Onboarding

·         Managing the recruitment process from advertisement through to appointment

·         Supporting a positive and engaging candidate experience throughout the recruitment journey

·         Managing recruitment communications and applicant records

·         Assisting with interview coordination and recruitment administration

·         Completing onboarding processes including right to work checks, DBS applications, references, offer letters and contracts

·         Supporting new starter inductions and mandatory training arrangements

·         Monitoring probation reviews and liaising with managers regarding completion

·         Managing the recruitment inbox and responding to enquiries

·         Supporting recruitment events and attraction activities across the Group

Employee Administration

·         Supporting employees throughout their employment journey with the Group

·         Processing role changes, salary amendments and associated employment documentation

·         Supporting work experience placements

·         Maintaining accurate Right to Work and visa records

·         Completing driver licence checks

·         Ensuring employee records and the Group's HR platform remain accurate and up to date

·         Preparing mortgage, tenancy, visa and employment references within required timescales

Training & Development

·         Coordinating Group-led training sessions and bookings

·         Administering the Group's online learning platform

·         Monitoring mandatory training compliance and producing reports

·         Maintaining training records, certificates and documentation

·         Supporting employees and managers with access to online learning systems

·         Liaising with training providers to arrange learning and development activities

Leavers & Business Administration

·         Managing all administration associated with employee departures

·         Producing leaver documentation and employment references

·         Supporting exit interview processes and ensuring company property is returned

·         Updating HR systems and records accurately

·         Managing incoming and outgoing post

·         Supporting departments across the Group with administrative tasks

·         Producing reports and maintaining business records

·         Assisting with business projects and continuous improvement initiatives

·         Administering the Group's Purchase Order system, including raising, tracking and maintaining purchase orders

About You

We are looking for someone who is:

·         Highly organised with excellent time management skills

·         Experienced in recruitment and HR administration

·         Self-motivated and able to work independently

·         Accurate, methodical and detail-focused

·         Experienced in using Microsoft Office, particularly Word and Excel

·         A confident communicator with excellent written and verbal skills

·         Able to prioritise a varied workload effectively

·         Professional when handling confidential information

·         Skilled at building positive working relationships across teams

·         Committed to continuous learning and personal development

·         Able to understand and meet important business deadlines and processes
